First, let me thank all of you who have worked so hard over the past few months getting much critical information into Paylocity as we prepare to move all of our benefits administration to the new system.
This memorandum outlines some important changes that are occurring relative to our Benefits Program that may require your help over the next few months. Please read this memorandum thoroughly and share the information with others, as you deem appropriate. Health Fair Registration Reminder: Please remind any of your full-time employees in our medical plans that they must register for one of the biometric screenings being held this month. If they have not already done so, they need to register this week for one of the following sites:
New Benefits System:As of September 1, 2015, we will no longer be using Tricerion for our benefits administration. Effective immediately, we will be using the new benefits system (BSwift/EmpowerMeBenefits) that is integrated with Paylocity WebPay. New Process for Non-Major Wage Earners:Employees who are not their family's "major wage earner" who want coverage for their spouse or family must pay an additional premium. This is necessary to assure fairness across the Diocese and to enable compliance with healthcare and insurance regulations.
These amounts are the deductions in addition to the normal employee health insurance cost. To determine the per paycheck deduction amount, divide the above amounts by your annual pay frequency. In Paylocity, set up an additional deduction on page 2 of the deductions code drop down (NMWE - Non Major Wager Earner) for the surcharge amount. Charges for New Benefit System:Beginning this month, you will be charged for the Benefits Admin cost that was in the original agreement you signed last year with Paylocity. You will be receiving a separate bill from Beneflex/EmpowerMeBenefits that is the benefits software provider. In the next week or so, you will be receiving a letter asking you to sign an ACH agreement that will allow them to debit your payroll account as Paylocity is currently doing for the Payroll/HR Admin services.New STD/LTD, Life insurance Provider:As of September 1, the Standard will no longer be providing our STD/LTD or Life insurance for our employees.[i]. Instead, we have selected MetLife as our new provider since they will be able to provide enhanced benefits at the same cost.In the next few weeks, we will have a streamlined claims process in place using a feed from Paylocity. In the meantime, if you have any employees who need to apply for STD benefits before the streamlined process is in place, please contact Joan Valk to start the process. Mark your Calendar: Benefits Administrator Training for Local Administrators:With all of the changes to systems and benefits happening this fall, we are planning special training/info sessions for those who are responsible for payroll/benefits at each location. There will be 3 sessions scheduled around the Diocese (1 each in Morris, Passaic and Sussex counties) during the week of September 28.It is imperative that there be at least one representative from each parish, school or agency attend one of the following sessions:
